DATA PROTECTION INFORMATION FOR WEBSITE VISITORS

Controller: Kea Company GmbH, Weikamps Land 14, 46395 Bocholt, Germany
Privacy contact: security@keaar.com

We process personal data in accordance with the General Data Protection Regulation (GDPR) and other applicable data-protection law.

Website Access and Server Logs

When you access this website, technical data may be processed to deliver the website, maintain system stability and security, and investigate misuse or cyberattacks. This may include your IP address, browser type and version, referrer URL, the date and time of the request, requested content and the amount of data transferred. The legal basis is Article 6(1)(f) GDPR. Our legitimate interests are the secure, reliable and efficient operation of the website. Server-log data is retained only for as long as necessary for these purposes, unless a longer period is required by law or to investigate an incident.

Contact Forms and Enquiries

When you contact us by email or through a form, we process the information you provide in order to respond and manage the enquiry. The legal basis is Article 6(1)(b) GDPR where the enquiry relates to a contract or pre-contractual steps, and otherwise Article 6(1)(f) GDPR based on our legitimate interest in communicating with clients, prospects and other business contacts. Where information is required to respond or provide a requested service, we may be unable to do so without it.

Processors and Recipients

We use carefully selected service providers for website hosting, security, forms, analytics, communications and online meetings. Where they process personal data on our behalf, they are contractually bound in accordance with Article 28 GDPR. Personal data is shared only where necessary for the stated purposes or where required by law.

Spam and Security Checks

Information submitted through forms, together with technical data such as IP address and browser information, may be checked by automated spam and security tools.

No Automated Decision-Making

We do not use personal data for automated decision-making, including profiling, within the meaning of Article 22 GDPR.

COOKIES, ANALYTICS AND EMBEDDED SERVICES

We use cookies and similar technologies to operate and secure the website. We also use Google Analytics through Google Site Kit to understand website usage and may embed third-party services, including G2. Strictly necessary technologies are used on the basis of our legitimate interests and the applicable statutory provisions. The legal basis for non-essential analytics or similar technologies is consent under Article 6(1)(a) GDPR and § 25(1) TDDDG where required. Consent can be withdrawn at any time with effect for the future. You can also restrict or delete cookies through your browser settings.

Third-party providers may receive technical information such as your IP address when their content or services are loaded. Further information is available in the Google Privacy Policy and the G2 Privacy Policy.

ONLINE MEETINGS AND WEBINARS

We may conduct online meetings and webinars using Zoom or Google Meet. Depending on how you participate, processed data may include your name, email address, IP address, audio or video, chat messages and files you choose to share.

The legal basis is Article 6(1)(b) GDPR where a meeting relates to a contract or pre-contractual steps, and otherwise Article 6(1)(f) GDPR based on our legitimate interest in efficient business communication. Optional recordings are made only where there is an appropriate legal basis, generally consent under Article 6(1)(a) GDPR. Data is retained only for as long as necessary for the relevant meeting or follow-up, unless legal retention obligations apply.

International Data Transfers

Some service providers may process personal data outside the European Economic Area, including in the United States. Such transfers are made only where a valid transfer mechanism applies, such as an adequacy decision (including the EU–US Data Privacy Framework for participating organisations) or the European Commission’s Standard Contractual Clauses, together with additional safeguards where required.

EMBEDDED CONTENT AND EXTERNAL LINKS

Pages may contain embedded content or links from third-party websites, such as videos, images, review widgets or social platforms. When third-party content is loaded, the provider may collect data, use cookies or process your interaction as if you had visited its website directly. The provider’s own privacy terms apply to that processing.

DATA SUBJECT RIGHTS UNDER GDPR

Subject to the applicable legal requirements, you have the right to withdraw consent (Article 7 GDPR), obtain access to your personal data (Article 15), request rectification (Article 16), erasure (Article 17), restriction of processing (Article 18), notification concerning rectification or erasure (Article 19), data portability (Article 20), object to processing (Article 21), and not be subject to certain automated decisions (Article 22).
